Instructor Portal

The Instructor Portal makes it easier for instructors and faculty to manage student accommodations. Through this portal, instructors can:

  • View all student accommodation letters across all their courses in one location.
  • See all exam requests submited by students for the course.
  • Bulk upload exams and instructions for the Test Accommodation Center.

Logging In

Step 1: Go to the DSS Portal by selecting the button on the DSS website or using the direct link included in a student's Faculty Notification Letter email.

Step 2: Find the Instructor Portal tile on the DSS Portal homepage and select "Access Instructor Portal." Use your UD CAS credentials to log in.

Step 3: Read the FERPA agreement and confirm your agreement by selecting "Continue to View Student Accommodations."

Instructor Overview Page

After logging in, you will see the Instructor Overview Page.

This page defaults to the current term and displays a list of students who have requested accommodations in your courses and what accommodations were requested.

 

Session Extender

The Session Extender will add 30 minutes to the session before you will be prompted to log in again. A warning will be displayed when 2 minutes remain on the session.

To activate the Session Extender, select “Enable.”

View Students Who Requested Accommodations

From the Instructor Overview page, select "View" next to a student's name to read their Faculty Notification Letter. DSS will also continue to deliver Faculty Notification Letter emails to the UD email address of the instructors, as listed in UDSIS.

Search by Accommodation

The list of all students who requested accommodations can be filtered by accommodation, course, section and other fields. To filter the list, follow the steps below.

Step 1: On the "Students Who Requested Accomodations" page, select "Refine Search."

Step 2: The search options will display. Search by subject, course number, section number, student last name or preferred name.
Note: This will only search information available to the instructor, not the entire DSS database.

Test Accommodations at the TAC

In the Test Accommodations module in the Instructor Portal, instructors can:

  • Upload exam files to individual students or in bulk.
  • Indicate that they will proctor their own exams rather than utilizing the TAC.
  • View a list of scheduled exam requests and their approval statuses.
  • Provide instructions on how the TAC should proctor the exam.

 

Enter Exams into the Instructor Portal

Follow the steps in the following three sections to enter your exams into the Instructor Portal.

Beginning in the 2026 Summer Session, this form replaces the TAC Exam Instruction form. It provides the TAC with general instructions on how to proctor exams for that course, including the date, length and any permitted aids. Access the form via the link included in a student's Faculty Notification Letter email or with the following steps.

Step 1: Select "Test Accommodations" from the Instructor Portal menu.

Step 2: Select the link to "Courses without Course Instruction."

Step 3: Scroll to see a list of courses you're teaching this semester. Find the appropriate course and select "Specify" to enter course instructions.

Step 4: Fill out the Course Instruction form to provide general proctoring instructions that apply to all assessments in the course.

Step 5: Select "Submit and Continue to Specify Exam Dates." You will be automatically directed to the "List Exam Dates" page. Instructors can enter exam dates and exam-specific instructions by following the below steps at this time, or return later.

Submit the dates on which students are allowed to take exams for your course. To navigate to "List Exam Dates" from the Instructor Overview page:

Step 1: Select "Test Accommodations" from the menu.

Step 2: Select the link to "Number of Courses without Exam Dates".

Step 3: Select "View/Modify Course Instruction" next to the course name.

Step 4: Select “List Exam Dates” from the menu under the course title.

Step 5: Fill out the exam details page for each exam and provide any exam-specific instructions.

Fields on the Exam Detail page include:

  • Type: Choose the type of exam from the list: Quiz, Test, Midterm or Final.
  • Approval Method: Choose the conditions under which the system can approve exam requests: if the student “Scheduled on the Specified Date and Time,” “Scheduled on the Specified Date,” or “Scheduled on Any Date.” Any students requests outside these conditions will be manually reviewed by the TAC.
  • Date: Select the date that the test is scheduled for the class.
  • Approval Grace Period: Set the window of time during which students can take the exam at the TAC. This feature is helpful for courses that allow students to choose a date within a window.
  • Standard Length of Exam: Set how long in minutes the class will have for the standard exam.
  • Skip Automated Exam Reminder: Choose whether to receive system email reminders of the upcoming exam.
  • Additional Note for Staff: Provide any additional details to the TAC proctors.

Step 6: In the “Exam Date Instructions” tile, specify the exact proctoring instructions for this exam.

Step 7: Upload the exam file in the “Exam File Upload” tile or return to upload files later by following the instructions under Upload Exam Files below.

Step 8: Submit the completed Exam Detail page by selecting “Save Exam Date” from the Form Submission tile.

To delete exam dates, view the list of scheduled exams from the Test Accommodations page and select “Delete” next to the appropriate exam. If an exam date has already passed or is scheduled for fewer than seven days away, it cannot be deleted and an error message will appear.

To copy exam dates:

  1. Navigate to Test Accommodations, then List Exam Dates.
  2. Select "Duplicate" for the exam you would like to copy.
  3. The system will begin a new Exam Details page with the copied fields filled in.
  4. Complete the Exam Details page and submit.

Exam files can be uploaded in the Exam Detail page or at a later date. To upload exam files from the Test Accommodations page:

Step 1: Navigate to the tile titled "Exams without Files Uploaded."

Step 2: Choose either:

  • "Upload to Exam Date" to upload the same exam file for all students in the course, or
  • "Upload to Individual Student" to provide different files for different students.

To upload exams in bulk:

  1. The Test Accommodations page will display a list of upcoming exams scheduled for the course. Instructors can choose which scheduled exams to upload the file to by selecting the checkbox next to the exam.
  2. After selecting exams, scroll down to the tile titled “Upcoming Exam File Upload.”
  3. Enter the file title and select the file from your computer, then press “Upload File.”
  4. Navigate to the Test Accommodations page from the menu and view the list of Upcoming Exams Scheduled. The Files column will now show that the exams that were selected for bulk actions have one file uploaded.
