New travel and expense programs

UD selects travel and expense management programs for employees

University of Delaware employees will have two new resources available to them next year when they’re traveling on business.

The University has selected Concur as its new travel and expense management program for employees and World Travel Inc. as its travel management company.  Concur is a leading global provider of integrated travel and expense management services and solutions and a leader in higher education travel and expense solutions. World Travel Inc., an industry leader in travel management, helps organizations improve the travel experience.

“We are excited that over 200 individuals from all aspects of campus participated in a competitive evaluation and selection process for our Travel Solution,” said Greg Oler, vice president for finance and deputy treasurer. “Through the engagement of our Procurement Committee and Council, implementation will be spearheaded with representation from administration, faculty and staff.”

Under the new program, UD employees will be able to book travel from a smartphone or desktop browser and automatically capture itineraries and credit card charges. This information then feeds the expense report, which is nearly complete at the conclusion of the trip.

In addition, the Concur mobile travel and expense app makes it easy to change a flight, book a hotel or get a rental car while traveling. And travelers can snap photos of paper receipts, attach those images to their expense reports and not have to retain them.

For those traveling internationally, the program also supports multiple languages and currencies, automatically calculating the currency exchange rate.

“This is a revolutionary step in how we approach travel and expense at the University” said Alan Brangman, executive vice president and University treasurer.  “Concur and World Travel will aid in making transacting business here at UD easier and more effective, and in doing so, aid faculty and staff alike in easing their administrative burden and increasing operational excellence.”

Representatives from Concur, World Travel and the Huron Consulting Group will be on hand at the Pieces of Procurement event, scheduled Tuesday, Dec. 5, in Clayton Hall. Online registration is now open and demonstrations of the new system will be available throughout the day.

Preparation for the new system at UD has been an ongoing initiative as part of the Procurement Advisory Committee and Council  and will continue throughout the spring of 2018.

Pilot testing is expected in June and July of 2018 with a full campus deployment launch next fall.
