New Business

Ed Drozd, Internal Audit; spoke with members of SSAC regarding the implementation of a compliance hotline on UDaily for reporting financial concerns. Dr. Colm noted that the Board of Trustees wants a good accounting procedure in place for reporting concerns employees may have about financial, accounting and auditing issues. The University has partnered with a third party vendor, EthicsPoint to help facilitate this process. The use of such anonymous reporting systems is a “best business practice” and reports can be made by anyone 24 hours a day, seven days week via telephone at 1-888-366-6033 or on the web at http://www.udel.edu/compliance/ (does not have to be a UD computer) or through the EthicsPoint web site, http://www.ethicspoint.com.

Jean Neff, IT User Training, asked the members of SSAC to talk with their constituents about IT user training. Consider the IT tools you use, or would like to use, for workplace projects or tasks. What software applications (e.g. Office, multimedia, programming) do you commonly use? For which applications would you like additional training? What type of training do you prefer (face-to-face workshops or self-paced tutorials)? Are you interested in administrative systems training (please describe)? Additionally, Jean Neff told the group that IT-User Services is moving temporarily from Smith Hall and should return in mid-August - http://www.udel.edu/topics/usmove/. When asked if there were loaner lap tops available, she replied that there are some and that her group is looking into acquiring more.

Susan Cheadle, Department of Chemistry & Biochemistry; addressed the group about the International Association of Administrative Professionals® IAAP which has three chapters in the State of Delaware. The organization holds monthly meetings and provides members with essential information and insights on office trends and best business practices, networking, dinners, educational workshops and many other career benefits. For additional information, contact Susan Cheadle.

Constituent Concerns
Ms. Doucette and Ms. Hadden relayed constituent concerns about the newly published parking fee increases for the next fiscal year. Ms. Hadden read an open letter to the group with several points of concern. A link to the Newark Campus parking map and regulations follows -http://www.udel.edu/PublicSafety/parkingmap.pdf. Dr. Colm noted that there is no charge for blue permit parking (see 08/09 employee permit prices - http://www.udel.edu/PublicSafety/employeepermits.htm#0809prices) and campus shuttle/bus service is also available – (http://www.udel.edu/SuppSrvc/bus/UDbus.html).

A constituent of Mr. Elfers inquired about the validity of late fees being assessed for late registration. The billing office will assess fees if the tuition is not paid or if the fee waiver form is not processed by the drop/add deadline. Please refer to policy 4-66 Course Fee Waiver for further clarification - http://www.udel.edu/ExecVP/polprod/4-66.htm.

A question was also raised regarding the University of Delaware’s non-participation in an HSA (health savings account). Chris Ulrich, Manager, Human Resources reviewed this issue with the State Health Care Benefits Group, State of Delaware, which administers the University’s health benefits. Currently the State does not participate in an HSA nor have any plans to participate in an HSA in the foreseeable future.

Mr. DiMauro inquired about a faculty and staff computer purchase program. Mr. LaPenta responded that due to current costs of computers, this program is no longer an option. However, faculty and staff are encouraged to visit the Technology Solutions Center, http://www.tsc.udel.edu/ for discounts as well as looking for other possible computer related savings at the UD bookstore.

Committee Reports/Matters

Transportation Committee Meeting
Wednesday, February 13, 2008

A new commuter gate permit has been established that will allow a commuter to park in the CFA (Center for the Arts) parking garage from 7am to 6pm, Monday through Friday. The cost for fiscal year 09 for this permit is $328 which is 70% of what an employee pays for a gate lot. Miscellaneous wage workers would also be eligible for this permit. There will be 200 permits available.

Announcements
Two vacant seats have been filled on the Grievance Hearing Board. One by Karren Helsel-Spry (district 13) and the other by Kimberly Doucette (district 3).
