Had a PNPI visit?

1:44 p.m., Oct. 14, 2005--Since July, a team of Information Technologies (IT) staff members has been visiting University offices to evaluate the processes for handling personal nonpublic information (PNPI) and to discuss measures that will help protect computer systems and sensitive information.

“Our goal has been, by the end of October, to have visited every University department to discuss these extremely important issues,” Ron Nichols, manager in IT-User Services, said.

“We have very nearly met that goal: We believe we have visited or scheduled a visit with a representative of every University department,” he said. “We need to make everyone aware of the steps each employee and faculty member must take to protect sensitive PNPI such as Social Security and credit card numbers.”

These visits are part of an education and publicity campaign that started in September 2004 to help departments develop more secure business processes and make sure each department understands that its employees are responsible for assuring compliance with the Family Educational Rights and Privacy Act (FERPA) and other laws that govern the use of PNPI.

In addition, Information Technologies has released guidelines, which are posted at [www.udel.edu/pnpi/guid.html], aimed at helping departments secure PNPI and make sure they are in compliance with the law and University policy. Two specific policies covering information security and PNPI are policies 1-15 and 1-22, available on line at [www.udel.edu/ExecVP/polprod].

“We’ve conducted surveys, published a brochure sent to all employees, sent e-mail to faculty, developed a web site, held seminars, and sent staff to every department on all our campuses,” Kate Webster, IT-User Services, said.

Webster added that IT staff have made several follow-up visits. “We’ve sent teams out for follow-up visits in business administration, music, mathematics, nursing, art, and several other departments.”
