Voice Mail Instructions:
Faculty


Telephone Answering Voice Mail

Faculty and Staff can have telephone answering mailboxes which is associated with the telephone line in their offices. The mailbox number is the 7-digit phone number.

Setting Up Your Telephone Answering Voice Mailbox

1. Dial 4000 from your phone to reach the voice mail system.
2. Listen to the voicemail operator. You'll hear the following information: "Press * if you are not at your own phone, press # to leave a message in another mailbox. Otherwise, please hold... Please take a minute to set up your mailbox. To begin setting up your mailbox, press the # key...."
3. Press the "Pound" [#] key.
4. Now follow the voice instructions.

* Select a personal identification number (PIN) between 4 and 10 digits long. Within UD Voice Mail, your PIN will be referred to as your PASSCODE.
* Record the name(s) of the person(s) using the mailbox.
* Record your personal greeting.
* Record your busy greeting (applicable for faculty/staff office phones only)

Listen to the voicemail operator and exit at the end by pressing *.

Voice mail is not difficult to use-it prompts you for most actions. You can always get help by pressing the 0 key on your telephone while you are using voice mail or call the Help Center at 831-6000 or send email to consult@udel.edu.

Using Your Telephone Answering Voice Mailbox

When there are new messages in your telephone answering mailbox, you will hear a "stutter" dial tone after lifting the receiver. This is your signal to dial voice mail (4000) and follow the instructions to access your telephone answering mailbox.


Private Voice Mail

Faculty and Staff who do not have direct access to a telephone can make a special request to set up private voice mailboxes.

Setting Up Your Private Voice Mailbox

 
1.  To Access UD Voice Mail, dial one of the following from a 
touch-tone telephone
 
     on campus:                 4000
     off campus:                (302) 831-4000
     Southern Delaware:         (302) 645-4000
 
2.  Press the "Star" [*] key
 
3.  Enter your Private Voice Mailbox Number
 
4.  Press the "Pound" [#] key  

Now follow the voice instructions to:

Select a PIN (passcode) between 4 and 10 digits long.

Record your Name Announcement

Record your Personal Greeting

Using Voice Mail

1. Access UD Voice Mail by dialing one of the phone numbers mentioned above
2. Press the "Star" [*} key
3. Enter your Private Voice Mailbox Number
4. Enter your PIN (passcode)

Remember your PIN! Private Voice Mailbox PINs can be reset by contacting your Human Resources liaison and requesting to have your PIN reset.

How To Leave a Message in a Private Voice Mailbox

1. Access UD Voice Mail by dialing one of the phone numbers mentioned above.

2. Listen to the Voice Mail operator prompting you to either:
a) press the # key to leave a message in another mailbox
-or-
b) enter the mailbox number of the person you would like to reach
(Note: the prompt is different depending on the phone you are using..either one with or without telephone answering Voice Mail.)

3. Enter the 7 digit number of the Voice mailbox of the person with whom you'd like to leave a message.

4. Listen to the greeting and after the tone record your message. End your message by pressing the # key.

5. Press 1 to send your message and then * to exit Voice Mail.


Submailboxes

How to Request that the Submailbox feature be set on a specific phone line

The Human Resources liaison for the department needs to send an e-mail message to the Voice Processing Coordinator (pamf@udel.edu) requesting that the submailbox feature be enabled for a voice mailbox. The following information should also be provided in the e-mail message:

  • phone number
  • How many people will be assigned to the phone
  • Location of phone

How to Set up Submailboxes

The option of setting up Sub-mailboxes is restricted to Faculty and Staff only.

Sub-mailboxes are used to allow people that share an extension to keep their messages separate. There is one Primary voice mailbox that is associated with the extension and then Sub-mailboxes for each person sharing the extension.

It is suggested that one person set up the primary voice mailbox. If you are at your own extension, there is a different way to access your sub-mailbox than if you are calling from another phone that does not have voice mail. Both of these methods are explained below.

Getting Started(primary):

 
Dial 4000 from your phone       If  you are not at your own phone, press the 
				star (*)  key
 
Stay on the line            	Please take a minute to set up your 
				mailbox.  To begin setting up your mailbox 
				please pressthe pound key. 
 
Press the pound key(#)
 
Follow voice instructions to set the PIN, record the NAME and record the
GREETING for the primary voice mailbox.  Remember this greeting needs to
reflect the submailboxes you will be creating. 
 
                        	Main Menu....to change mailbox options, press 9
 
Press 9 for mailbox options     .....to create or delete sub-mailboxes, press 3
 
Press 3 to create sub-mailboxes To create a new sub-mailbox press 1
 
Press 1 for a new sub-mailbox
 
Follow  voice instructions to record a name and temporary passcode for the 
sub-mailbox
 
It is suggested that sub-mailbox 1 be given the temporary passcode 1111 and 
so on
 
Press # when finished setting up all sub-mailboxes.
 
Press * to return to the main menu.
 
Now the other individuals sharing the phone can set up their submailboxes.

Enter your temporary PIN
 
Follow voice instructions to set a new PIN, record your NAME and record your 
GREETING.

Accessing Sub-mailboxes:

 
The following instructions apply only when dialing from the phone where your 
extension is actually located.
 
Dial 4000 from your phone       Please enter the passcode for this phone
 
Enter your PIN
 
The following instructions apply for accessing sub-mailboxes from phones 
that have voice mail, but are not your own.
 
Dial 4000          		Please enter the passcode for this phone, 
				or to enter another mailbox, press * 
 
Press *                         Please enter a mailbox number
 
Enter the primary mailbox 
number                          Please enter your passcode
 
Enter your PIN
 
You are now in your sub-mailbox

Chain Mailboxes

What is a Chain Mailbox?

When enabled, the chain mailbox feature links telephone answering voice mail to private voice mail. A chain mailbox allows callers to enter a 7-digit, private voice mailbox number of the person they are trying to reach. Chain mailboxes work best for extensions shared by 5 or more people. Extensions used by graduate students often take advantage of this type of voice mailbox.

All telephones in student Residence Halls are automatically enabled with the chain-mailbox feature.

How to Set up a Chain Mailbox

For Staff:
In special cases, private mailbox numbers can get assigned to faculty and staff. A request also needs to be submitted to have the chain-mailbox feature enabled on a telephone in a staff or faculty office. Contact the voice processing coordinator to submit these requests.


Course Voice Mailboxes

How to use Course Voice Mailboxes

A Course Voice Mailbox is a voice mailbox where you can record up to a five-minute greeting for your students to listen to. This greeting can include information about the course, assignments, topics for discussion or any other information you would like to provide.

You can change the information in the greeting at any time, from any place. The voice mailbox is accessible from any touch-tone phone, any where.

With a smaller class, allowing students to leave messages shouldn't be a problem. Allowing students this ability in a large class is not advisable. The volume of messages you could receive may be difficult for you to handle in a timely manner.

Request for Course Voice Mailboxes

Requests for Course Voice Mailboxes should be directed to your departmental voice mail contact (usually the PAF contact). He/she will forward the information to the Voice Processing Coordinator. Your request should include the following information: Your name, the number of course voice mailboxes you would like, and spefigy if the mailbox should allow mailboxes.

Using Course Mailboxes

The following information is instructions for listening to a course mailbox. Course mailboxes are used by faculty as an additional form of communication with students.

It is the student's responsibility to listen to this course mailbox frequently for new information.

It is important to remember that you will follow the voice instructions for leaving a message in a mailbox. The greeting that plays will be the information you want to listen to.

On Campus with voice mail

1. If you are calling from an extension on campus that has it's 
own voice mailbox, (i.e. your dorm room) dial 4000
 
2. Press the "pound" [#] key
 
3. Enter the 7-digit Course Voice Mailbox Number
 
4. Listen to the greeting

On Campus without voice mail

1. If you are calling from an extension on campus that does not have 
it's own voice mailbox, dial 4000
 
2. Enter the 7-digit Course Voice Mailbox Number
 
3. Listen to the greeting
 
Off Campus
==========
 
1. If you are calling from off campus dial (302) 831-4000 or 
645-4000 (for Southern Delaware)
 
2. Enter the 7-digit Course Voice Mailbox Number
