Professional Positions 4591 Associate Director, Auxiliary Financial and Support Services (Level 15) Auxiliary Services DEADLINE: July 6, 2009 QUALIFICATIONS: Bachelor’s degree in Accounting, Business Administration or Information Systems or other related field and five years job related experience. Comprehensive understanding of college/university policy and procedures relating to financial and information systems is required. Demonstrated skills and abilities in leadership, administration, and strategic planning. Ability to manage professional, salary and technical staff. Technical background and familiarity with internet, network hardware, and data base applications. Understanding of information technology and its applicability to internal applications and the provision of member services. Experience in managing system development and improvement. Working knowledge of computer systems and software. Microsoft Office skills preferred. An understanding of database structure and the technology associated with it. Ability to work effectively under pressure and to manage multiple priorities under deadlines. Excellent interpersonal, written and verbal communication skills, problem-solving, organizational and mediation skills. The ability to analyze needs and to determine priorities based on business objectives. A high degree of creativity and flexibility. RESPONSIBLITIES: Under general direction of the Director of Auxiliary Financial and Support Services, maintain and enhance financial and information systems for all functional areas of Auxiliary Services: Bob Carpenter Center, Dining Services, Conference Services, Auxiliary Financial and Support Services, University Bookstore and Supporting Services. Serve as the department liaison with various University departments to include; Cashiers, Billing & Collection, Account Payable, Internal Audit, Management Information Services/Information Technology, HR, and Procurement. Responsible for recommending improvements to existing systems and processes to meet the goals and expectations of the Auxiliary Services units. Knowledge and understanding of PC-based systems (and related software such as Windows, Microsoft Office and database/warehouse tools), and server based systems (such as PeopleSoft, Time and Attendance, Web applications and Blackboard card access) as well as basic networking theory and applications. Supervision of the Manager of Information Systems, Manager of University Ticketing Services, Communications Specialist, Accountant and a Records Analyst/Coordinator of the UD1 FLEX Office. Ensure financial reports are accurate and timely. Administer Dining plans. Responsible for the integrity of corresponding privileges and accounts in Blackboard transaction system. Ensure functionality of dining data base, PSSA billing data base, and web applications, and oversee future development of same. Verify that the needs of all stakeholders are fulfilled. This requires coordination of data with Dining Services, Housing Assignment Services, Billing & Collections and the ID Office. Manage the UD1 FLEX accounts in the Blackboard system and verify that this system is in sync with PeopleSoft financials. Verify and process monthly invoices for payment to and from contract vendors for Dining Services, UD Bookstore, laundry, vending and banking. Oversee University Ticketing Services and contract with Ticketmaster. Oversee and assist in developing marketing strategies and communication plans for Auxiliary Service units. Maintain expertise in current uses of technology and utilization of future technology by attending meetings/seminars and visiting other universities and sites to observe their applications. Ensure compliance with Auxiliary Services Business Continuance and Disaster Recovery plans. Develop and promote the University’s one card system. Recommend and implement necessary hardware and software upgrades for Auxiliary Services. Perform other duties as assigned.
