SOLAR SELF-SERVICE FORMS AND PROCEDURES
SALES AND FUND SOLICITATIONS BY
REGISTERED STUDENT ORGANIZATIONS
By definition, sales/solicitations includes solicitation of
membership, admissions, charges for events, donations, and any
funds derived from programs and services rendered or sales of goods.
This includes all fund raisers by the group.
Procedure
In order to gain approval to conduct a campus sale or fund solicitation:
- Registered Student Organization representatives must apply
to the Events Services Office (103 Trabant University Center) for
approval to conduct a campus sale or fund solicitation. Organizations
desiring to charge admission at programs or events will be required
to have already completed a space reservation form.
- When the nature of the sale or solicitation is determined,
the Event Services representative will instruct the group representative
regarding appropriate accounting procedures and provide detailed
guidelines regarding the manner by which sales/solicitations must
be conducted.
- All on-campus sales/solicitations by Registered Student Organizations
must be authorized by the Assistant Director of Events Services,
Room 103 TrabantUniversity Center. A Sales/Solicitation form must be
completed before the authorization process is finalized.
- All funds derived from on-campus sales/solicitations must be
deposited in the organization's internal account or University
supervised checking account. After expenses are paid from either
account, the remainder of the funds may be used to support the
on-campus programming activities of the organization. (Exceptions
are made in the case of funds received as part of a religious worship
service and in the case of solicitations for non-religious,
off-campus charitable organizations as defined by the Internal
Revenue Service.)
- After the sales/solicitation event is over and all funds are
deposited, you must meet again with the Event Services representative
to reconcile the Sales/Solicitation form. The funds deposited must
reconcile with the documented income.
Fund Raising Policies
- Sales/solicitations on a "door to door" basis in University
facilities is not permitted.
- Raffles, lotteries,casino nights and other games of chance
are regulated by Delaware State Law. Review such activities
with the Assistant Director of Event Services.
- Delaware State Law prohibits the sale of food that is not
commercially prepared and packaged by a licensed food handler.
- Off-campus individuals or firms are not permitted to conduct
sales/solicitations on campus except when sponsored by a University
department, Registered or Chartered Organization, or Hall Government.
- Authorization to sell on campus does not constitute an
endorsement by the University of either the product sold or
the service rendered.
- All Registered Student Organizations may not engage in
off-campus fund raising activities without the permission of the
Assistant Director for Activities & Programs or designee.
Failure to comply with the provisions of the Sales/Solicitations
policy could result in the loss of registration and possible
referral to the University Judicial System.
Questions regarding sales/solicitations procedures should be
directed to the Event Services Office, 103 University Center.
All policy interpretations will be made by the Director of the
Student Centers.
