SOLAR SELF-SERVICE FORMS AND PROCEDURES

ADVERTISING

Advertising is one of the most important elements that goes into planning an event for your group. It should be thought about early in planning because many media and printing options require advance notice. This flyer contains information on advertising resources, as well as any restrictions that may apply.

To best advertise your event, please submit your information on the UD Campus Events web page. Please use the form: http://www.udel.edu/cal-addevent

This will distribute your RSO's information to all campus media sources, including the UD web, UD Update, UDTV, WVUD, STN and the Review. If the event is of particular importance, please contact the media source directly.

WVUD

The 24 hour campus radio station, 91.3FM, offers free Public Service Announcements (PSA) for your group. Pick up a PSA form in the SOLAR Self-Service Files in the Activities & Programs Office (218 Trabant) or stop by the station itself in the Lower Level of the Perkins Student Center Annex to fill out a PSA form, or call 831-2701 for more information. PSA forms should be submitted well in advance of your event. Submit an event online PSAs on WVUD.
STN
The campus student television network can be viewed on channel 49. Send information about your event to the station, via Campus Mail, and they may choose to cover it on one of their many programs. Mail to: STN, c/o Communication Department, Pearson Hall or go to the station’s contact page.
UDTV
The campus community television station airs a 24 hour listing of campus events. To have your event listed on the channel send event information, via Campus Mail, to: Public Relations Office, Academy Building. Information should be submitted at least two weeks in advance of your event.

Student Events/Campus Events

You can use the web to notify people of your upcoming event. University of Delaware Calendar is a general site maintained by the Public Relations Office. Student Events is maintained by the Student Centers and lists events sponsored by Registered Student Organizations. Student Events will also accept photos or flyers announcing major events. Posters/Flyers

Many groups choose to promote their events through posters or flyers to post or distribute on campus. This also is an effective way to advertise however, posters/flyers not stamped by Event Services in either Trabant or Perkins offices will be torn down and discarded. It is very important to read and understand the Posting Policies.

The Activities & Programs Office, and the Graphic Communications Center, with its Quick Copy Centers, can offer you assistance in creating your flyer or poster through a variety of resources:

  • Event Services Office:
    Student groups may request 3 2-color posters per event.  Requests can be submitted by completing the form in 103 Trabant.

    Quick Copy services are available in Trabant and at the General Services Building.
NOTE: you must arrange for Quick Copy services by completing the proper request form in Activities & Programs on a semester basis.
Banners
  • Banners/sheets may be hung by registered/chartered student organizations on the Independence Complex, Rodney, and Academy Street tennis court fences. The banner must contain the name of the sponsoring organization. Only banners which announce multiple date performances, recruitments, or lengthy celebrations (week/month long, for example) are permitted. "one-day" events will not be permitted to be hung on the fences.
  • Requests for hanging banners on the exterior of the Student Centers must be made in writing to Gil Johnson, Associate Director of the Student Centers for Event Services: (gil@udel.edu) Requests must be made at least 10 days prior to the date of hanging. You must include, in the request, the specific wording as it will appear on the banner and the length of time it will be displayed.
  • Requests for hanging banners in a Residential Dining Location (Pencader, Rodney, Russell, or Kent) must be made in writing to Dennis Bellarmino, Senior Director of Residential Dining (dbell@udel.edu).  Please click here for specific policies regarding banners to be hung in the Dining Halls.

The banners must be made of canvas or similar weather resistant material by a qualified professional sign maker. The Hanging and removal of the banner must be done by UD Facilities Roofers. Please complete and submit a Miscellaneous Services Form at: http://crawdads.mis.udel.edu/ud/forms/AandP/misc/index.html at least 10 days in advance. A charge will be assessed at the end of the month for labor cost.


POSTING POLICIES
  1. Bulletin boards in University buildings and on campus are intended for materials related to the program and goals of University departments and Registered Student Organizations.

    Commercial advertisements and notices for non-University related programs are not permitted to be posted.

  2. Materials may be posted on bulletin boards only after approval by the appropriate source responsible for the specific boards:
    • Library: Director of Libraries or designee
    • Academic buildings: Academic department that maintains specific board
    • Student Center & Outside Bulletin Boards:
      Event Services Office: 107 Perkins Student Center or 103 Trabant University Center
    • Residence Halls: (See Residence Life posting policies)
      • Student Centers stamp above is also valid for the residence halls.  Please see the policy link above for information on having your materials distributed to the RAs for posting.

  3. Items are not to be posted on other University property including walls, trees, doors, windows, etc.

  4. Outdated materials are to be removed by the sponsor.

  5. Campus boards are cleared on a weekly basis or when deemed necessary because of excessive build up of materials.

  6. Posted materials must contain the name of the sponsoring University organization or student.
ITEMS POSTED IN VIOLATION OF POLICY WILL BE REMOVED. FURTHERMORE, VIOLATIONS OF POLICY #3 WILL BE IMMEDIATELY SUBJECT TO A $5 FINE PER PIECE OF MATERIAL REMOVED, AND MAY BE SUBJECT TO FURTHER FINES FOR DAMAGES TO CAMPUS PROPERTY.
