SOLAR SELF-SERVICE FORMS AND PROCEDURES
RESERVING UNIVERSITY FACILITIES
CARPENTER SPORTS BLDG, PEARSON GYM, CAMPUS FIELDS
Reserving the areas of campus listed above is a privilege that is
offered to Registered Student Organizations.
All Registered Student Organizations must arrange use of the Carpenter
Sports Building rooms, Pearson Gym, or Campus Fields by completing
an Application To College Of Physical Education, Athletics and Recreation
for Use of Carpenter Sports Building/Pearson Hall Gym.
A representative from the group must initiate the reservation by
stopping by room 218 Trabant University Center and picking up and completing
the form. The completed form must be delivered to the Carpenter
Sports
Building
for
processing
after
being
signed
by the Assistant Director of Activities & Programs or a designee.
Required Services
Required University services, such as custodial, security, etc.,
will be assigned and arranged by the administrators responsible for
the supervision of the specific facility requested. Your organization
will be billed for these services.
Most reservations are handled on a case-by-case basis due to the
great amount of variety among facilities and programs. One general
rule to note is that the larger the event; the more services will be
required due to anticipated large crowds and special needs.
Services Desired by a Student Organization
If you want certain services when using a University facility (such
as tables, chairs, staging, special lighting, audio-visual equipment,
food, etc) you must first check with the Activities & Programs Office
to see if the University provides the desired service. If it does,
you must use the University service department as a resource. If the
particular service(s) you want cannot be provided by the University,
you may go to an outside service organization to fulfill your needs.
Policies
Pearson Hall Gymnasium
- Building Supervisor is required; and is ordered by Carpenter staff
when they approve the reservation.
- For some events a tarp must be ordered for the floor.
- Late night events require a combination of four uniformed Public
Safety officers and four aides.
- Custodial "clean-up after event" is required and ordered by the
department.
- For longer events (marathons, day-night programs) one male and
one female custodian are required to keep bathrooms stocked and cleaned.
- Smoking is not permitted.
Carpenter Sports Building
- Lifeguard services required for any pool reservations.
- Custodial "clean-up after the event" required for major events
held in afternoons, nights, weekends.
- Special arrangements must be made with the Associate Director of
Athletics in order to have all lights dimmed in the Carpenter Front
or Back Gyms.
- A tarp must be ordered for the floor for any public events in the
Front or Back Gyms.
- Smoking is not permitted.
Athletic Fields
- For any large public events, portable toilet facilities must be
arranged. (The University does not provide this service) Users and
guests on the field may not use adjacent buildings for bathroom needs,
water supplies, etc.
- Plant Operations Electrical Services must be arranged for any power
needs. You may not run extension cords from buildings adjacent to
the field you are occupying.
- Public Safety requirements based on type of event.
- Smoking is not permitted.
