Keys and Access Cards
When students check-in they receive an access card or fob for their building and a key to their room. Each access card/fob is assigned to a particular student and cannot be exchanged with other students unless an official room change takes place.
LOCK-OUT or LOST KEY
If a student is locked out, he/she can sign out a spare key from the building staff for a period of 48 hours. If the key is not returned at the end of that 48 hours, the HD must initiate a core change by going to the Facilities Management Website. The link can be found on Residence Life’s “Forms & Other Useful Links” page. http://www.udel.edu/reslife/staff/forms.html The student will be billed $80.00 for a core change. For personal safety, when a key, access card or fob, and identification are lost together, an emergency core change must be initiated. Emergency core changes are charged at a rate of $105.00. Staff members may initiate an evening/weekend emergency core change by working with the professional on duty and contacting UDPD and Facilities (831-1141).
LOST CARD/FOB
Residents who lose or misplace their access card/fob must obtain a new one from the Residence Life staff. The new access card/fob will immediately become the resident's permanent card/fob and the previously issued card/fob will be deactivated. Staff should IMMEDIATELY complete the card-cancel web form (also available at the “Forms & Other Useful Links” page). This form should be completed BEFORE giving the new card/fob to the student in order to avoid charges to the staff and the Office of Residence Life.
The charge for a new access card/fob is $18.00. If the resident finds the lost access card/fob and returns the card/fob to Sue Moylan at 115 Housing Operations Center within five calendar days of the reported loss, the student will not be charged. Residence Life staff should not make any promises to students about possible billing scenarios.
STOLEN KEY/CARD
In the event that a resident's key and/or access card/fob is stolen, an emergency core change should be initiated. During normal business hours, emergency changes can be facilitated by contacting Sue Moylan at 831-6637. If Sue is not available or if the emergency change is needed outside of business hours, please contact 831-1141 to initiate the core change and contact UDPD at 831-2222 to initiate the card/fob deactivation process. For an emergency core change, the “card-cancel” web form will need to be completed, but the core-change web form is not necessary. Sue will be notified by the Police that a core change was done. Simply e-mail Sue Moylan the billing information at smoylan@udel.edu.
NON-WORKING CARD/FOB
Residents whose card/fob is not working must obtain a new one from the Residence Life staff. The new access card/fob will immediately become the resident's permanent card/fob and the previously issued card/fob will be deactivated. Staff should IMMEDIATELY complete the card-cancel web form (also available at the “Forms & Other Useful Links” page). This form should be completed BEFORE giving the new card/fob to the student in order to avoid charges to the staff and the Office of Residence Life. If the card-cancel web form is not submitted before the new card/fob is used on any access point, the staff or Office of Residence Life will be charged.
It is the responsibility of the staff member to take the non-working card/fob and return it to Sue Moylan at 115 Housing Operations Center within five calendar days of assigning the new card/fob. Failure to do so will result in charges to the staff and the Office of Residence Life.
Students are not normally charged for normal wear and tear if they return the card/fob, however Residence Life staff should not make any promises to students about possible billing scenarios.
