Etiquette Reminders

Complex Coordinators and Hall Directors should be highly involved in the faculty interactions initiated by their Resident Assistants. Credit will be given for the completion of a faculty activity only if a Professor, Associate Professor, Assistant Professor, Lecturer, Academic Dean, Academic Department Chair or primary instructor for a current undergraduate course offering has participated.

When involving faculty with residence hall programming, please keep in mind these simple etiquette reminders.

Several weeks before the program:

Determine program topic that will solicit an audience!
Invite appropriate faculty in person or via the phone and send a confirmation letter (cc: Complex Coordinator and Assistant Director for Residence Education). Do not use e-mail or printed invitations for your first contact.
Discuss with the faculty the types of programs that work well in the residence hall setting and the goals that you have for your program. Encourage the faculty member to avoid a lecture style program.
Offer to tour the building with the faculty member after program.
Initiate interest in community and ensure attendance.
Be honest with the faculty about the number of students who usually attend programs.

A week or two before the program:

Order refreshments.
Reserve location for program.
Reserve any special equipment, if needed.
Inform other staff in community; announce at HG meeting.
Generate bio or introduction of faculty member (i.e.: name, department, years at UD, background info. etc.).
Send Faculty Member directions and obtain a parking permit if needed.

The day of the program:

Get refreshments.
Re-contact your residents to solicit attendance.
Meet faculty member early at least 15 minutes before program. Don’t assume he/she can find the location; therefore, meet in parking lot or entrance of building. (Ask one of your residents to “round people up” for the program while you are meeting the faculty member.)
Help make faculty member feel comfortable.
Attend your own program.
Begin the program, introduce the faculty member, and help to initiate discussion when/if appropriate.
Bring closure to program.

The day after the program:

Write thank you note to faculty (see CC’s for samples letters).

Faculty Connection Possibilities

The following table summarizes the responses of faculty and administrators who returned a survey during the summer of 2001 regarding their willingness to be involved in various residence hall activities.

Involvement Key:

P = Is willing to present a program or facilitate a discussion with students in the halls.
H = Is interested in holding a special event in the residence halls related to their course (i.e. poetry reading, art exhibit, etc.).
M = Would enjoy a free meal and conversation in a dining hall with a group of residence hall students.
E = Is willing to escort a group of residence hall students on a cultural outing (such as to a museum or theater production).
St = Is interested in holding a discussion group or study group meeting in a residence hall for their class.
Se = Is willing to participate with students in a service project coordinated by Residence Life.
