FLSA Status: Nonexempt Revised August 30, 2007 NATURE OF JOB: Under limited supervision, performs a full range of administrative, financial, and complex records duties. Coordinates the implementation and compliance with internal and external administrative and financial policies and procedures. Prioritizes and coordinates complex administrative and financial activities such as: alumni, donor, corporate, foundation and gift records maintenance; reconciliation of sponsored and non-sponsored accounts; pre-award and post-administration grant management. A high level of independent judgment is required to analyze and monitor data for system integrity, create accurate data sets and/or supervise the processing of confidential data. EXAMPLES OF WORK: Depending on divisional assignment, the following are typical * Implements and monitors administrative and financial policies and procedures within the unit; * Assists and supports the operation and management of complex financial activities such as: gift records, pre-award and post-administration grants management, reconciliation of sponsored and non-sponsored accounts; * Analyzes unit financial transactions and recommends approvals using established guidelines; * Develops, generates and analyzes reports; conducts sophisticated data analysis and/or develops budget and expenditure projections; * Performs routine and nonroutine clerical, secretarial or records-processing duties ensuring confidentiality; * Serves as liaison for supervisor and staff regarding proper procedural methods and problem resolution; * Provides training for staff in areas of responsibility; acts as consultant to service requesters; * Supervises a support staff including selection, training and evaluation; * Coordinates work of a support staff involved in a special project; * Recommends system enhancements; * Performs other related duties as assigned. EDUCATION, EXPERIENCE AND ABILITIES: Requires a minimum of an Associate’s degree or equivalent course work in business administration, accounting or related field with five years of progressively responsible administrative experience. Related progressive experience beyond a high school diploma or GED may be substituted for required education or additional related education may be substituted for required experience. Requires extensive knowledge of the principles and practices of office management; knowledge of unit programs, policies and procedures. Requires the ability to analyze and interpret financial data, make independent decisions and judgments in keeping with the level of the position, plan, assign, review and evaluate the work of staff; demonstrated ability to use advanced techniques in spreadsheet, database and/or presentation software; and the ability to communicate and interact well with people of all ages and diverse backgrounds. SPECIAL REQUIREMENTS: Depending on divisional assignment, the following may be required: knowledge of federal and state regulatory policies; familiarity with gift processing, pre and post award grant processing, and budget preparation.
