FLSA Status: Nonexempt Revised July 1, 1999 NATURE OF JOB: Under limited supervision, performs a full range of administrative and complex secretarial and/or records duties. Coordinates the implementation and compliance with internal and external administrative policies and procedures. Prioritizes and resolves administrative problems and personnel issues. The principal emphasis is on general administration and office management. A high level of independent judgment is required. EXAMPLES OF WORK: Depending on divisional assignment, the following are typical * Assists and supports the operation and management of the unit; * Implements and monitors administrative policies and procedures within the unit; * Generates ad hoc reports from mainframe and microcomputer databases; * Conducts sophisticated data analysis or develops expenditure projections; * Performs routine and nonroutine clerical, secretarial or records-processing duties ensuring confidentiality; * Analyzes unit financial transactions and recommends approvals using established guidelines; * Serves as liaison for supervisor, faculty and staff regarding proper procedural methods and problem resolution; * Provides training for faculty and staff in areas of responsibility; * Supervises a support staff including selection, training and evaluation; * Coordinates work of a support staff involved in a special project; * Performs other related duties as assigned. EDUCATION, EXPERIENCE AND ABILITIES: Requires a minimum of an Associate's degree or equivalent course work in business administration, accounting or related field with five years of progressively responsible administrative experience. Related progressive experience beyond a high school diploma or GED may be substituted for required education or additional related education may be substituted for required experience. Requires extensive knowledge of the principles and practices of office management; knowledge of unit programs, policies and procedures preferred. Requires the ability to analyze and interpret data, to make independent decisions and judgments in keeping with the level of the position, and to plan, assign, review and evaluate the work of staff; demonstrated ability to use advanced techniques in spreadsheet, database and/or presentation software; and the ability to communicate and interact well with people of all ages and diverse backgrounds. SPECIAL REQUIREMENTS: Some positions may require the ability to lift and carry, with or without assistance, boxes weighing up to 50 pounds, climb ladders up to 4 1/2 feet, and bend and reach to place boxes on shelves.
