RECORDS ANALYST/COORDINATOR (R6) 
FLSA Status: Nonexempt

NATURE OF JOB:
Under general supervision, performs research, analysis, appropriate dispersal of financial information and/or coordinates unit work flow. The principal emphasis is on account maintenance and/or coordination of records activities that impact major information systems. A high level of independent judgment is required to resolve records systems problems, address appropriate application of inventory control procedures, assess staffing issues and/or address policy compliance. 

EXAMPLES OF WORK:
Depending on divisional assignment, the following are typical

* Assists with the preparation of contracts and grants including budget proposals;
* Develops, generates and analyzes ad hoc reports;
* Provides guidance to other unit personnel; 
* Resolves complex records issues; 
* Reviews, researches, compiles and analyzes reports, documents, promissory notes and claims to ensure conformance with operating guidelines and/or regulations; 
* Reviews and analyzes departmental budgets/accounts to ensure availability of funds and proper administration of University accounts; account maintenance to include billing, monitoring, reconciliation and/or reallocation of funds; 
* Coordinates projects;
* Responsible for inventory control;
* Receives and reviews data error reports for transferable information; corrects error source and resubmits information; discusses and analyzes problems with computing center liaison; 
* Conducts special studies as required to include summarization, analysis and interpretation of data; 
* Corresponds with vendors to obtain merchandise information and resolve problems; makes appropriate purchases to satisfy supply and demand considerations; 
* Reviews data control process; implements new methods and procedures for effectively reviewing and entering data; 
* Designs database/spreadsheet applications using standard software packages;
* Maintains on-line database tables to ensure system accuracy;
* Researches, compiles and analyzes data;
* Prepares financial/audit work papers;
* Serves as liaison for internal and external constituencies; 
* Designs unit's Web pages according to University standards;
* Performs other related duties as assigned.

EDUCATION, EXPERIENCE AND ABILITIES:
Requires a minimum of a high school diploma or GED with four years of increasingly responsible records systems, accounting, and/or inventory control experience. Additional related education may be substituted for required experience. Associate's degree or equivalent course work in business administration, accounting or related field and supervisory experience preferred.  Requires knowledge of records and inventory control systems; analytical/mathematical skills; ability to organize, review, analyze and interpret data control reports, and to coordinate a specialized function. Knowledge of University operating procedures for applicable office preferred. Requires demonstrated ability to use advanced techniques in spreadsheet, database and/or presentation software and the ability to communicate and interact well with people of all ages and diverse backgrounds. 
 
SPECIAL REQUIREMENTS:
May need to pass data entry test.
