FLSA Status: Nonexempt Revised July 1, 1999 NATURE OF JOB: Under limited supervision, performs complex administrative duties. Coordinates the implementation of and compliance with internal and external administrative policies and procedures. Prioritizes and resolves administrative problems and personnel issues. The principal emphasis is on general administration and office management. A high level of independent judgment is required. EXAMPLES OF WORK: Depending on divisional assignment, the following are typical examples of work: * Administers the day-to-day operation of the unit; identifies and resolves problems with appropriate actions; * Compiles and verifies statistical reports; prepares administrative forms which may contain confidential information; * Deals independently with faculty and University administrative personnel; * Monitors expenditures; performs analyses; provides budget projections; identifies situations in which reallocation of resources may be necessary; * Reviews, analyzes and evaluates work methods, operational procedures and related use of personnel, funds and equipment; recommends changes and improvements to enhance the effectiveness of the operation; * Supervises and manages daily work flow of office staff which may include recommending merit adjustments and promotions, recruiting, hiring, orienting and training new staff, and initiating personnel actions; * Identifies unusual situations or problems and develops appropriate action; * Coordinates large-scale departmental public relations activities; * Performs final review, reconciliation and analysis of reports, documents, promissory notes and claims to ensure conformance with operating and/or standard legal guidelines and regulations; * Conducts special studies as required to include summarization, analysis and interpretation of data; * Oversees the review of data control process and implementation of new methods and procedures; * Performs other related duties as assigned. EDUCATION, EXPERIENCE AND ABILITIES REQUIRED: Requires a minimum of an Associate’s degree or equivalent course work in business administration, accounting or related field with five years of progressively responsible administrative experience. Related progressive experience beyond a high school diploma or GED may be substituted for education or additional related education may be substituted for required experience. Requires extensive knowledge of the principles and practices of office management; knowledge of unit programs, policies and procedures preferred. Requires the ability to analyze and interpret data, make independent decisions and judgments in keeping with level of the position and plan, assign, review and evaluate the work of staff. Requires organizational skills; the ability to coordinate multiple tasks concurrently; demonstrated ability to use advanced techniques in spreadsheet, database and presentation software; and interpersonal skills with the ability to communicate effectively and interact with people of all ages and diverse backgrounds.
