FLSA Status: Nonexempt Revised July 1, 1999 NATURE OF JOB: Under general supervision, performs complex secretarial and administrative duties, often related to a specific program or specialized function of a unit. May supervise or guide the activities of other unit personnel. The principal emphasis is on providing program support and coordinating administrative aspects of special programs and events. Prioritizes and resolves administrative issues. A high level of independent judgment, initiative and problem-solving skills are required. EXAMPLES OF WORK: Depending on divisional assignment, the following are typical examples of work: * Receives and screens incoming correspondence, forms, applications, contracts, reports, etc.; * Researches, responds to inquiries and explains policies and procedures; disburses relevant information from other professional, academic and governmental organizations; * Reviews data reports and resolves discrepancies as appropriate; compiles and evaluates data for special studies; prepares and maintains reports; * Acts as liaison with internal and external contacts; * Analyzes budgets and interprets University policies and procedures; * Reviews and prepares contracts and other standard University forms; * May interview, train and/or supervise staff; * Coordinates course scheduling, registration, application processing, class lists, rosters and/or student advisement; * Types specialized vocabulary, scientific or mathematical terminology which consists of Greek letters and symbols, equations, formulas or numerical data; * Edits and formats publications; * Performs other related duties as assigned. EDUCATION, EXPERIENCE AND ABILITIES: Requires a minimum of a high school diploma or GED with four years of increasingly responsible secretarial experience. Additional secretarial training or related education may be substituted for required experience. Associate's degree or equivalent college-level course work in business administration or related field preferred. University experience is desirable. Requires extensive knowledge of office practices and procedures; ability to handle multiple assignments concurrently; knowledge of the principles and practices of office management; ability to analyze and interpret data, make independent decisions, plan, assign, review and evaluate the work of other personnel; demonstrated ability to use advanced techniques in word processing, spreadsheet, database and presentation software; and the ability to communicate effectively and interact well with people of all ages and diverse backgrounds.
