OFFICE COORDINATOR (S6)

NATURE OF JOB:

Under general supervision, performs complex secretarial and administrative duties. Ensures the implementation of, and compliance with, internal and external administrative policies and procedures as well as determines priorities and resolves administrative issues. The principal emphasis is on coordinating unit work flow and supervising staff members. A high level of independent judgment, initiative and problem-solving skills are required.

EXAMPLES OF WORK:
Depending on divisional assignment, the following are typical examples of work:

* Performs routine and nonroutine secretarial and administrative tasks;
* Analyzes and evaluates areas of operational procedure and related use of funds and equipment; makes recommendations concerning changes and improvements;
* Monitors processing of contracts, requisitions, issuance of equipment, supplies and inventory control;
* Compiles, evaluates and verifies statistical reports;
* Researches and responds to inquiries and explains policies and procedures; disburses relevant information from other professional, academic and governmental agencies;
* Monitors unit budgets which may include ensuring compliance, reconciling of multiple and complex accounts, reallocating resources and analyzing expenditures, etc.;
* Develops and maintains databases to generate reports using various queries;
* Interprets departmental and University policies;
* Assists in preparation of class schedules, course catalogs and grade reports;
* May type specialized vocabulary, scientific or mathematical terminology which consists of Greek letters and symbols, equations, formulas or numerical data;
* Maintains liaison with internal and external contacts to confer on established policies and procedures; resolves difficulties that may arise;
* Prepares administrative forms which may contain confidential information;
* Serves as point-of-contact for recruitment;
* Interviews, trains and/or supervises staff;
* Performs other related duties as assigned.

EDUCATION, EXPERIENCE AND ABILITIES:

Requires a minimum of a high school diploma or GED with four years of increasingly responsible secretarial experience. Additional secretarial training or related education may be substituted for required experience. Associate's degree or equivalent course work in business administration or related field preferred. University experience is desirable. Requires extensive knowledge of office practices and procedures; knowledge of the principles and practices of office management; ability to handle multiple assignments concurrently; analyze and interpret data; ability to make independent decisions in keeping with level of the position; ability to plan, assign, review and evaluate the work of other personnel; demonstrated ability to use advanced techniques in word processing, spreadsheet, database and presentation software; and the ability to communicate effectively and interact well with people of all ages and diverse backgrounds.

SPECIAL REQUIREMENTS:
May need to pass typing test.
