MEDICAL SERVICES REPRESENTATIVE (S5)
FLSA Status: Nonexempt

NATURE OF JOB:
Under general supervision, provides initial contact with students, staff/faculty, parents and visitors. The principal emphasis is on scheduling patients’ appointments with medical personnel. Exercises appropriate judgment in assessing patients’ needs via the phone and in-person. Handles highly sensitive and confidential medical matters.

EXAMPLES OF WORK:
Depending on divisional assignment, the following are typical examples of work:

* Greets and signs in all patients; 
* Interviews patients to obtain pertinent registration information; 
* Assesses patients’ needs and schedules appointments; 
* Answers, screens and refers calls to medical staff using a multiline telephone system; 
* Maintains daily patient sign in and medical census tracking; 
* Documents test results in patients’ charts and informs physicians and nurses of results; 
* Coordinates medical transportation services; 
* Maintains inventory of office supplies and materials; 
* Assists with bulk mailing of health announcements, brochures, forms, etc.;
* Provides direction and assistance to Medical Records Clerk;
* Prepares forms, letters, and composes general correspondence;
* May calculate fees for students/billing slips;
* May supervise student and/or miscellaneous wage employees;
* Performs other related duties as assigned.

EDUCATION, EXPERIENCE AND ABILITIES:

Requires a minimum of a high school diploma or GED with three years of clerical experience involving public contact. Medical office program training, knowledge of medical terminology, ability to interpret medical records and previous patient interaction preferred. Requires basic computer skills including word processing; high level of accuracy and attention to detail; sensitivity to the needs of others; and the ability to maintain good public relations and communicate effectively and interact well with people of all ages and diverse backgrounds. 

SPECIAL REQUIREMENTS:
May need to pass data entry test.

WORKING CONDITIONS:
Subject to exposure to communicable diseases and unpleasant sights. May encounter irate patients and visitors.
