FLSA Status: Nonexempt Revised July 1, 1999 NATURE OF JOB: Under general supervision, performs secretarial duties including composing correspondence as well as producing and mailing standard responses to general inquiries. The principal emphasis is on performing a variety of routine secretarial duties. Independent judgment is required to resolve routine problems. EXAMPLES OF WORK: Depending on divisional assignment, the following are typical examples of work: * Prepares letters, memoranda, manuscripts, and articles; * Types specialized vocabulary, statistical tables, scientific or mathematical terminology which consists of Greek letters and symbols, equations, formulas or numerical data; * Takes and transcribes dictation; * Composes and produces routine correspondence in accordance with established procedures; * Operates standard office equipment; * Maintains calendars; arranges appointments, schedules conferences, lectures, etc.; * Trains or provides guidance to clerical and student workers; * Answers inquiries within authorized limits; refers nonroutine questions to appropriate person(s); * Maintains and secures a variety of office records and files including academic, financial information and office correspondence; * Prepares routine reports in established format; * Prepares standard forms; * Orders office supplies and maintains inventory; * Reconciles simple account statements; * Performs other related duties as assigned. EDUCATION, EXPERIENCE AND ABILITIES: Requires a minimum of a high school diploma or GED with two years of experience in a clerical or secretarial position. Additional secretarial training or related education may be substituted for required experience. Secretarial training preferred. May require dictation and/or transcription skills. Requires knowledge of office practices and procedures, business English and proofreading skills; the ability to maintain office records, prepare routine reports, and use basic word processing techniques as well as communicate effectively and interact well with people of all ages and diverse backgrounds.
