CHEP Graduate Curriculum Committee
Policies and Procedures
Amended: May 2, 2000
Committee's Charge/Mission - The Graduate Curriculum
Committee will review proposals for new and revised curricula
and courses. In addition, the Graduate Curriculum
Committee will periodically review HEPP courses to ensure
the appropriateness of a college-wide designation, and,
along with the Dean, monitor programs with a HEPP designation.
Committee Meeting Schedule - The Committee shall
meet on an "as needed" basis throughout the academic year
when agenda items are brought to the Chair of the committee.
At least one meeting will be held in the fall semester to
process any proposed changes that are received by the Committee.
New and Revised Courses - All new courses should
be sent to the CHEP Graduate Curriculum Committee no later
than October 15th so that materials can be reviewed by the
appropriate committees and the Dean's Office in time for
changes to be reflected in the following year's University
catalogue.
Two forms must be completed for a new course:
a. Course Inventory
Form - New Course
b. Supplement to Course
Approval Form
Two forms must be completed for a revised course:
a. Course Inventory
Revision Form, and
b. Supplement to Course
Approval Form
Program Changes - All program changes should be
submitted to the CHEP Graduate Curriculum Committee no later
than November 15th to allow sufficient time for materials
to be reviewed by the Dean's Office and appropriate committees
in order for changes to appear in the following year's University
catalogue. The Academic Program Approval Checklist
needs to be submitted along with the following information:
a. Brief description
and rationale for the change, including resources needed
if any
b. Support letters
from departments and schools affected by the changes
c. Description of efforts
made to discuss proposed changes with other departments,
schools, or colleges that could be impacted by the change,
or whose students and faculty might be interested in the
changes or opportunities being proposed
d. New catalog description
e. Suggested semester
sequence
For programs with a HEPP designation, programs must also
specify a Core Faculty and procedures in which the faculty
shall regularly review the program.
Additional Procedures -
- The Chair of the CHEP Graduate Curriculum Committee
should receive eight copies (for all committee members
and the Dean) of all material being submitted to the Committee
for its approval
- The Chair of the CHEP Graduate Curriculum Committee
can invite a department or school representative to present
and clarify items submitted to the Committee when appropriate.
- The Dean's Office will keep a record of all decisions
and minutes of the Committee.
- All course and program materials approved by the Committee
will be forwarded to the Dean's Office for signature.
The Dean's Office will then forward all items to the department
or school that submitted the course and/or program materials.
In this way, a department or school can be assured that
the materials and the correct number of copies are forwarded
to the appropriate office(s).
- The Chair will forward all curriculum items affecting
teacher education to the UCTE prior to sending them to
the Dean's office
- The committee has the option at all times to consult
with the College Council, particularly on issues affecting
the entire College. In the case where the affected academic
units have not voted their approval for new or revised
courses or programs which involve more than one unit,
the Chair will forward the additions or revisions to College
Council where such a vote will be taken. The results will
then be forwarded to the Deanœs Office.
- The Chair of the Committee will see that all motions
passed by the committee will be forwarded to the Chair
of the College Council, and that the minutes are sent
to the entire College within one week of each committee
meeting as part of the College challenge process.
Ex Officio Members of the Committee -
- In addition to the regular members of the committee,
the college representative to the Senate Graduate Committee
will serve as ex-officio member of the Graduate Curriculum
Committee in order to improve communication and expedite
actions.
- Any department or school not officially represented
on the committee may elect an ex-officio member to serve
on the committee.
Appendix: HEPP Course Scheduling
and Program Policy
It is expected that nearly all academic course and programs
be offered through academic program units of the college.
Exceptions can be made when programs or individual courses:
are principally interdisciplinary in nature; draw upon the
resources of many academic units within the college and/or
university; draw students from a variety of academic disciplines;
and the course or program may not be more appropriately linked
to a single academic unit.
Programs with a HEPP designation must be reviewed according
to established university procedures. CHEP approval
process will begin with a proposal to the college undergraduate
and graduate curriculum committees as appropriate.
The committee shall then solicit wide input from academic
units within the college. The program proposal must
specify a core faculty and procedures in which the faculty
shall regularly review the program. The appropriate
college committee and the Dean shall also have responsibility
for monitoring the program.
Individual course with a HEPP designation will also be
approved in accordance with university policy. Experimental
courses will be scheduled by the Dean's office. As
a matter of practice, the CHEP Dean's office will only schedule
courses with HEPP designations when those courses have been
approved for a college-wide HEPP number by the appropriate
college curriculum committee and by the Dean or when the
courses are experimental courses that will subsequently
be submitted for a college-wide review. All college-wide
courses will be reviewed periodically by the Dean and the
College Undergraduate or Graduate Curriculum Committee to
ensure that the college-wide designation remains appropriate.
