Department of the Month Guidelines

Purpose of Program:The Department of the Month Program was established in order to recognize departments that are doing extraordinary things to increase the level of safety in their work environment. This program will highlight individuals and/or entire departments and recognize their contribution to safety.

Criteria:Eligible staff and/or entire departments are nominated for outstanding safety initiatives during a designated month. Performance must relate to (a) the introduction of new or innovative safety process or procedure in the workplace; (b) the adoption of demonstrable/significant cost saving mechanisms or techniques (i.e. waste minimization); (c) significant personal contributions that contributed directly to the Departmental or University Safety Program.

Eligibility:Program is open to permanent full-time staff, permanent part-time staff, students and all departments.

Nomination Process:The individual, peers, supervisor or members of the Department of Occupational Health & Safety staff may initiate nominations. Nominations must be submitted to the Department of Occupational Health & Safety or the Departmental Safety Committee who in turn should submit the nomination to the Department of Occupational Health & Safety. The nomination can be in the form of an e-mail or message, memo or personal conversation. The information provided should include the names and titles of the persons being nominated, their respective offices/units and a brief description of their contribution to the safety program. The information provided should also include how their accomplishment meets one or more of the established criteria for the program. This program does not require that an individual be attached to a department; an entire department can win the award.

The entire Department of Occupational Health & Safety staff will review nominations and determine a winner. The panel will screen all nominations, verify that the criteria given above have been met, and decide upon the department of the month.

Acknowledgement Letter:At the completion of the Department of the Month award selection process, an acknowledgement letter will be issued by the Director of Occupational Health & Safety to inform individuals and/or departments of the award recipient and/or department's award in order to recognize publicly their outstanding performance. This letter will be sent via e-mail to the Chair or Director of the Department, Executive Vice President, and individual.

International Recognition, Web Page Display:The department and/or individual winning the award will have the opportunity to be displayed on the Department of Occupational Health & Safety Web Page. If the department and/or individual has a web page the Department of Occupational Health & Safety will link to their web page as well as take pictures of the department and/or individual for display on the front page of the Department of Occupational Health & Safety Web Page.
